The Property Manager should effectively manage and coordinate persons, activities and available resources in order to accomplish community objectives as set forth by the Management Company and Property Owner.
JOB RESPONSIBILITES Leasing:
Ensuring property is rented to fullest capacity.
Utilize marketing strategies to secure prospective residents.
Have prospects complete application and security deposit in accordance with the company procedures and Fair Housing requirements.
Review applications and determine eligibility and completeness for the affordable housing program for the specific communities within our portfolio.
Ensure apartment is ready for resident to move-in on agreed date.
Represent the company in a professional manner at all times.
Resident Retention:
Deal with resident concerns and requests on timely basis to ensure resident satisfaction with management.
Develop and/or implement resident retention programs (i.
e.
, resident functions, special promotions, monthly newsletters, etc.
).
Ensure distribution of all company or community-issued notices (i.
e.
, bad weather, emergency, etc.
) Consistently implement policies of the community Ensure all maintenance repairs are handled satisfactorily by contacting residents.
Contribute to cleanliness and curb appeal of the community on continuing basis Rent Collection / Accounts Receivables:
Follow the rent collection policy.
Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner (collections should be deposited daily).
Generate necessary legal action, documents and process in accordance with State and Company guidelines.
Ensure property maintains a low accounts receivable delinquency rate.
Ensure all payment agreements for past due balances are requested in writing from the tenant and approved by your supervisor.
Compliance:
Ensure that the property and all residents meet compliance requirements specific to your property.
Maintain accurate resident files and waiting lists.
Complete accurate resident lease renewals, re-certifications, rent increases, and utility allowance changes in a timely manner.
Prepare and attend all property physical and file audit inspections.
Participate in training in order to comply with new or existing regulations and laws.
Reporting / Documentation:
Maintain accurate records of all community transactions and submit on timely basis (i.
e.
, vacancy report, tenant past due report and monthly close out reports).
Confirm all leases and corresponding paperwork are completed and input to Yardi System accurately and on a timely basis.
Respond timely to home office inquiries concerning reports submitted.
On Site Management:
Supervise staff to ensure all duties are performed efficiently and to the standards of the company.
Provide support to staff to encourage team work and lead as an example.
Coordinate with maintenance schedule to ensure the timely turn of vacant units and work orders.
Ensure that you and your maintenance staff are using the time clocks properly and submitting time cards to home office in a timely manner.
Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
Ensure that A/P invoices are submitted to the home office for payment in a timely manner.
Maintain petty cash account so that it reconciles daily and submit for reimbursements in a timely manner.
SOCIAL MEDIA MANAGEMENT Create social media posts and engaging videos for brand awareness for marketing Post advertisements for available rentals and services Assist in launching website CORE SKILL REQUIREMENTS In order to achieve success the EHM team must embrace certain core skills:
